Keep ONE email template — and tweak just 2 lines for every role.

Most job seekers either do one of these two things:

  • Write a brand-new email for every application (very tiring), or

  • Copy-paste the same email everywhere (very risky).

Both cause problems.

The smarter approach is to keep one solid base email and customise only two lines every time.

Why this works-

  1. It saves time without sounding lazy.

You don’t waste mental energy rewriting the same introduction again and again.

  1. It reduces silly mistakes.

Copy-pasting different emails often leads to errors like wrong company names or roles.

One template = fewer chances of embarrassment.

  1. Recruiters still feel it’s personalised.

Those 2 customised lines are enough to show genuine intent.

What should stay fixed in your template

  • Your short introduction

  • Your core skills

  • Your experience level

  • Your availability

  • Your contact details

These don’t change from company to company.

What should be customised (only 2 lines)

  • Line 1: Why this role / company

Example:

“I’m applying for the Backend Intern role at Park+ because I’m interested in building scalable consumer products.”

  • Line 2: Skill match with the JD

Example:

“My experience with Node.js and API development closely matches the backend requirements mentioned in the job description.”

That’s it.

An example mail-

Hi [Name / Hiring Team],

I’m a final-year Computer Science student with hands-on experience in backend development and REST APIs.

I’m applying for the [Role] at [Company] because [1 line reason].

My experience with [1–2 relevant skills] aligns well with what you’re looking for.

I’ve attached my resume for your review.

Thanks for your time,

[Your Name]

One small but important habit- Before sending the email, read only the customised lines once.

If they make sense, send it. Don’t overthink.
